A useful quality record
Evidence becomes valuable when its context remains understandable.
Evidence needs an address
An inspection record is difficult to use when the reader cannot identify the asset, location or revision it concerns. Establish those references before collecting evidence. Consistent identification makes later review possible without asking the original author to explain each file.
Distinguish acceptance from activity
A completed inspection activity and an accepted result are different states. Keep outstanding observations visible with ownership and a route to resolution. An archive should not make an unresolved question disappear simply because a form has been uploaded.
Test the retrieval
Ask someone outside the record-keeping team to follow an asset reference to its evidence. Note where context is missing or the index is ambiguous. Improving retrieval is a practical quality task, not an administrative polish reserved for project close-out.
